Virtual Office Terms and Conditions

1. Scope of Service

1.1 The VO service provides access to a business address, mail handling, and other selected features depending on the chosen plan. 

1.2 The VO service does not include physical office space or coworking desk use unless explicitly included in the client’s plan. 

1.3 Workspaces reserves the right to update service inclusions and will notify clients of any changes.

2. Client Responsibilities

2.1 Clients shall not use the Workspaces address for illegal, fraudulent, or misleading business purposes.

2.2 Clients must provide accurate business registration details and update Workspaces on any changes.

2.3 All mail and packages must be addressed correctly; improperly addressed mail may be returned.

2.4 Clients are responsible for promptly collecting mail or arranging forwarding services as per their plan.

3. Mail and Package Handling

3.1 Workspaces will accept mail and packages during business hours (9 am to 6 pm). 

3.2 Oversized or restricted items (e.g., perishables, hazardous materials) may be refused. 

3.3 Workspaces is not liable for loss or delay once mail is released to the client or courier.
 

4. Fees and Payment

4.1 VO service fees are billed in advance, based on the client’s chosen billing cycle.

4.2 Late payments beyond seven (7) days of the due date may result in service suspension.

4.3 Continued non-payment may lead to termination of the service.

5. Termination and Non-Renewal

5.1 By Client – The client may terminate the service by providing thirty (30) days’ written notice.

5.2 By Workspaces – Workspaces may suspend or terminate the service immediately if the client:

        • Engages in illegal, fraudulent, or abusive activity;
        • Fails to pay fees after repeated reminders;
        • Misrepresents their business or misuses the Workspaces address.

5.3 Non-Renewal – If the client does not renew their plan, services will automatically end on the expiration date.

6. Post-Termination Obligations

6.1 Upon termination or non-renewal, the client must immediately cease using the Workspaces address in all:

        • Government registrations (DTI/SEC, BIR, LGU, etc.);
        • Banking, financial, and contractual records;
        • Websites, social media, and marketing materials.

6.2 Workspaces may require written confirmation from the client that the address has been updated with relevant agencies.

6.3 Workspaces will stop accepting mail and parcels after the termination date. Any items received thereafter may be:

        • Returned to sender, or
        • Held for up to thirty (30) days, subject to handling fees, at Workspaces’ discretion.

6.4 Workspaces reserves the right to notify government agencies, financial institutions, and senders that the client is no longer associated with the Workspaces address.

6.5 Continued or unauthorized use of the Workspaces address after termination shall be considered misuse, and Workspaces reserves the right to take legal or administrative action to protect its business reputation.

7. Liability

7.1 Workspaces will take reasonable care in handling client mail and information but is not responsible for indirect or consequential losses.

7.2 Workspaces’ liability shall not exceed the total VO fees paid by the client in the three (3) months preceding the incident.

8. Amendments and Notices

9.1. SOS reserves the right to amend these Terms and Conditions at any time. Updated versions will be communicated via email and posted on the official website.

9.2. Continued use of the service after updates implies acceptance of the revised terms.
